Onboarding Automation
Signature to kickoff without the coordinator.
Pricing available on discovery call.
The problem
Client onboarding is the most error-prone stage of the engagement. A contract signs, then someone has to remember to send the onboarding questionnaire, create the project in the PM tool, set up shared folders, send the kickoff email, and schedule the first meeting. Every step requires a human to remember it. Some steps get missed. First impressions suffer before the work starts.
What's included
- —Contract-signed trigger (PandaDoc or DocuSign webhook)
- —Onboarding questionnaire (Tally, branching logic per service type)
- —PM project creation (Asana, Linear, or ClickUp — your tool)
- —Shared folder creation (Google Drive or Notion)
- —Three-email kickoff sequence with automated timing
- —Slack notification to the account team on client onboard
- —Handoff documentation and full component access
The process
Phase 1
Onboarding process map
Map every step you currently take when a contract signs. Identify the PM tool, document storage, communication touchpoints, and the 3–5 things most likely to be forgotten or delayed.
Phase 2
Automation build
Connect the contract-signed webhook to every downstream action. Build the questionnaire, PM project creation logic, folder structure, and email sequence. Each component is tested against a simulated client record.
Final phase
End-to-end testing and handoff
Run two full onboarding sequences from a test contract signature. Verify timing, email copy, project creation, and folder structure. Calibrate. Document. Hand off.
